Summary Statement
The Medical Administrative Assistant reports to the Medical Services Manager and will be responsible for performing all clerical duties related to the efficient, safe, and compliant collection of stem cell products. Will work collaboratively as a member of the team and in alignment with the values of the organization.
Education
Minimum High School Diploma or GED; college degree preferred. Education and/or experience in healthcare preferred.
Responsibilities
- Receive work up request and other documents for donor collection.
- Act as a liaison between Gift of Life and NMDP donors, physicians, donor centers, and registries.
- Coordinate donor physical exam date, injection, and collection date with the Apheresis Center, registries, physicians, Nurse Practitioners, and Physician Assistant.
- Effectively communicate all aspects of the coordination with all parties involved.
- Email, fax and/or distribute donor documents.
- Prepare documents and donor charts.
- Ensure accurate completion and timely submissions of data collection forms into MatchQuest and FormsNet.
- Follows internal Standard Operating Procedures (SOPs)and external regulations when performing assigned duties.
- Communicates pertinent information effectively and timely. Brings issues to the attention of leadership as necessary.
- Assists and supports other team members.
- Maintains a clean and organized work environment.
- Maintains complete and accurate records, including apheresis charts.

Physical Demands

Responsibilities
- Work with the team to identify conferences where the organizaton should be represented for the calendar year.
- Ensure that events are successful based on identified business objectives. Work with the marketing team to promote the organization’s attendance at the conference through social media and other channels.
- Facilitate cross-functional collaboration with internal stakeholders to ensure all event activities and results are communicated.
- Research and manage an extensive list of events meeting all deadlines for the organization.
- Prepare, present, and manage budgets and negotiating contracts. Review event billings and approve payment
- Secure, plan, and execute all events from initiation to completion within the goals of the organization.
- Coordinate and implement all booth logistics, including booth services, maintenance, rentals, catering, shipping and travel of booth, booth install and dismantle, procurement of materials and equipment, permits, power sources, and other applicable duties as required
- Manage registration of staff attendees
- Arrange travel and accommodation logistics, administration, and bookings for staff attendees
- Plan and create a successful booth presence.
- Act as the on-site point of contact, managing on-site execution and wrap up for all events when in attendance.
- Document activities prior to and during the events, everything is in order and accounted for and prepare an itemized event log for each event to be given to attendees.
- Work with marketing team to order promotional items.
- Use tools to analyze event leads and follow-up programs and evaluates and test new ways to drive more leads and conversions. Ensure all leads are followed up and communicated to relevant departments as necessary.
- Create event promotional campaigns utilizing business development and communication skills.
- Attend the events as the representative of the organization.
- Responsible to recruit, train, and supervise conference representatives as needed when unable to attend.
- Establish standards for the organization’s presence at conferences to ensure the highest level of quality, customer service and audience satisfaction / experience.
- Travel is required.
- Performs other duties as assigned.
Knowledge, Skills and Experience
- Three to five (3-5) years of experience in trade show, exhibit and event management.
- Strong organizational skills and attention to detail needed to balance several projects simultaneously.
- Strong negotiation skills required to secure space and services at or below market trends
- Understand the best ways to segment and leverage this asset to drive booth traffic and promote product and service offerings across our database to targeted groups.
- Excellent decision-making, planning, and problem-solving skills needed to manage projects through completion.
- Strong analytical skills to design and develop effective programs to meet business needs.
- Strong communication skills - both verbal and written.
- Ability to facilitate cross-functional team meetings - to include follow-up.
- Strong interpersonal skills and ability to interact with others in a professional and tactful manner
